Dedicated hat uploading e-mail.
Make a new email just for iEra Rufus Hat Shop, the email will be only for hat submissions for iEra. It would make it much easier for sorting emails.

If E-Mail programs in the 21st century wouldn´t have the option to sort mails by the subject and players would be able to note in the correct subject, yes he should do that.
